Essential Job Functions (Please note: the person hired will be performing these duties not managing these duties)
1. Provide Broker with various sales reports, and construction status reports as they relate to sales.
2. Update sales files with buyer contract information.
3. Process Contracts and Addendum's, copies to all parties.
4. Maintain files through closing.
5. Maintain projected closings spreadsheet for contract backlog.
6. Communicate contract status with Broker/Agent, Title Company/Attorney's Office and Lenders on a regular basis.
7. Process contract cancellations including refund of earnest money, if applicable.
8. Thorough communication with field management, obtain projected walk through/closing dates.
9. Schedule orientations and closing; inform all parties of dates and times.
10. Process orders to Home Inspectors, Lenders, Appraisers, Title Company/Attorney Offices and Insurance Agents.
11. Prepare documents for government loans, Lenders and Team members. Obtain warranty company acceptance, if required.
12. IMPORTANT: There is an average of 52 people involved in a real estate transaction. This person must manage the entire process in a business-like manner and be able to gently push all parties to meet deadlines and specific dates while maintaining a professional decorum.
13. IMPORTANT: Attention to details to make sure all aspects of the transaction stay on track and on time.
14. Prepare closing worksheets for contract file and review settlement statements for Broker approval.
15. Ensure keys for homes are received and sent to Title Insurance/Attorney's Office before closing.
16. Prepare closing packages for Title Insurance/Attorney's Office, including closing instructions, warranty registration forms, keys etc.
17. The majority of hours are spent within the office, but there will be occasional emails/ phone calls after hours.
18. Email management and time management are crucial for success in this deadline driven environment.
19. Coordinate with team members including team courier and equipment pick-ups.
20. Ensure utilities are transferred out of seller's name for day of closing.
Applicants MUST have all TWO of the below to be considered:
- either Real Estate experience (FLORIDA Real estate License required-title insurance, mortgagage, even accounting or other related field highly considered) secretarial or technology experience.
- Have very strong computer skills and quick learning of new technology is essential.
- The ability to read, analyze and interpret Real Estate contracts, Inspector's reports and legal documents. The ability to calculate figures and amounts such as discounts, interest and commissions.
- Be able to demonstrate verbal and written communication skills and customer service.
- A flexible schedule may be required from time to time to meet deadlines at busy month end when the majority of closings traditionally occur.
Work Environment:
The Real Estate office is a busy facility; our growth has been excellent in spite of the market downturn. Intern may have to manage a number of projects at one time (files simultaneously), and may be interrupted frequently to meet the needs and requests of members, residents, clients and contractors. The intern may find the environment to be busy, noisy and will need excellent organizational, time and stress management skills to complete the required tasks.
